What you can do

Carry the accepted revision into the order connection

Quote Specialist starts handoff from an Accepted quote. The action reads the accepted offer and its immutable lines, checks the expected revision and verifies the downstream connection. Its operation receipt identifies the attempted handoff and retains the actual external reference when the connected system supplies one.

The handoff key is stable for the quote and accepted revision. A repeated request therefore refers to the same handoff evidence. When the downstream connection is absent, the receipt stays Pending. The team can see the unresolved work and arrange the connection before claiming an external order result.

How the work is organized

  • Eligible accepted offer. Start with the customer commitment and accepted revision. Keep its quoted products, quantities and agreed commercial amount available for the downstream mapping. Resolve any revision mismatch before handoff.
  • Connection-owned execution. Configure the order destination and the fields it requires. The quote supplies accepted commercial scope; the connected order system owns the order it creates and returns its reference according to the agreed integration.
  • Receipt-based follow-up. Track the action, result state and external reference together. A pending or failed result needs investigation. Reconciliation compares the recorded claim with evidence before treating the work as Completed.

What to agree during setup

Agree which order system receives accepted automation quotes and who maintains that connection. Define the customer and product-code mappings, and decide how the downstream reference returns to the receipt. Test the stable handoff key with the receiving system’s repeat-request behavior before the first live cycle.

Identify the person who resolves pending or failed results and those needing review. Keep the quote owner informed when a customer commitment has been accepted but order handoff still needs attention. Downstream shipping, installation and billing should follow the operating process of the connected systems. The integrations page keeps those connection responsibilities explicit.

Check the handoff on an actual case

Use an accepted rehearsal quote for a controller retrofit. Quote Specialist requests handoff with the accepted revision and then inspects the receipt. With no connection configured, confirm that the result remains Pending and that no external reference is invented.

Repeat the rehearsal with the configured destination available. Compare the receiving system’s actual response with the recorded external reference and effect evidence. Submit the same quote revision again and check that it remains tied to the original handoff key and receipt. Try a quote still in Approved and a stale expected revision as negative cases.

Ask Pricing Reviewer to examine an unresolved receipt and explain the next investigation step. The handoff is ready for the operating team when they can locate the accepted offer, the attempted action and its real downstream outcome without guessing from the quote status.

What your team sees

  • Accepted Quotes — Customer commitments eligible for handoff, with acceptance dates and revisions.
  • Receipt Exceptions — Pending or failed actions and actions flagged for review.

Follow the work through

Use handoff and recovery after approval and acceptance. Agree the destination and response mapping during implementation.
