Ask Proto for the next piece of context

Ask Proto to help prepare pursuit work while people keep authority over reviews and outcomes.

It can

  • Business Development Lead: Summarize open pursuits due to close soon and list follow-up activities due today.
  • Proposal Coordinator: Prepare a checklist of Draft design RFPs by submission due date and parent pursuit.
  • Practice Reviewer: Gather a submitted RFP's source revision, linked files and prior decisions for inspection.
  • Practice Principal: List Failed and needs review operation receipts with their parent pursuits.

Stays with a person

  • People confirm the client relationship, proposal contents, independent review and customer outcome.
  • The acting person checks the current record before a guarded status change.
  • Proto can assemble the context and point to missing work; the reviewer or principal makes the decision.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Map identity

Confirm the practice organization, users, team members and account naming convention.

  2. Load a pursuit

Add a current client account and opportunity with owner, value and expected close date.

  3. Plan contact

Record a meeting and a due follow-up activity against that opportunity.

  4. Rehearse the proposal

Create a Draft design RFP, attach its package and submit at the current revision.

  5. Review and decide

Record an independent decision with a reason; rehearse a later Won or Lost customer outcome.

FAQ

Questions, answered

Scope, rollout and pricing for Architecture Firms CRM.

All questions
How do I get started?

Click Get started, then use Proto to configure CRM for Architecture Firms for your business. Start with one practice organization, one client account and a current fee pursuit.

Who owns a pursuit?

Each opportunity names a team members owner. Agree who keeps its expected close date, value and activity history current.

How are design RFPs connected to the pipeline?

Each design RFP has a parent opportunity and names the practice organization. The proposal stays beside the client pursuit it supports.

What happens when a draft changes during submission?

Submission checks Draft status and the expected revision. The coordinator reviews the current version before another attempt.

Where do follow-up tasks live?

Tasks are relationship activities under an opportunity, with due and completed dates and an outcome.

How do reviewers record a decision?

A review decisions record names the reviewer, source revision, decision, date and reason on the parent pursuit.

Is proposal approval the same as a client win?

The review decision records the practice's assessment. Won or Lost on the opportunity records the customer's outcome.

How do we find an unsuccessful action?

Operation receipts keep the attempted action, expected revision, result state and failure reason under the opportunity.

Can one client have several pursuits?

Yes. Separate Opportunities can share one Accounts counterparty while keeping their own owners, statuses and design RFPs.

Where are proposal files held?

Record attachments sit under the opportunity with a title, evidence type, uploader, date and Internal or Shared visibility.
