Prepare a better handoff with Proto

Use Proto to prepare constituent records and inspect funding handoffs.

It can

  • Relationship Manager: Ask for the open opportunities and follow-ups linked to a constituent before a call.
  • Proposal Coordinator: Ask for the case lines and program context on a qualified opportunity before submission.
  • Pledge Coordinator: Ask which pledges are Submitted and what supporting attachment references are present.
  • Development Director: Ask for Won and Lost outcomes, the linked operation receipts and cases that need review.

Stays with a person

  • The Relationship Manager owns the relationship, the Proposal Coordinator owns the case, and the Independent Reviewer checks the pledge before it is submitted.
  • Proto can organize the records and prepare a review, while the named reviewer must inspect the pledge and make the decision.
  • Confirm any external correspondence and financial receipt in their respective systems.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the operating context

Create the organization and team members. Assign who owns constituent relationships, proposal preparation, pledge entry and independent review.

  2. Bring in relationship records

Add a small set of constituents and contacts. Check codes, segments, status and the link between each contact and account.

  3. Build a funding case

Create an opportunity with an owner, expected value and close date. Add case lines and one follow-up, then qualify the opportunity. Reaching Qualified triggers proposal submission; inspect the activity and receipt for each change.

  4. Review a pledge

Add a pledge under that opportunity with its purpose and reference. Attach support, have a separate reviewer inspect it, then submit it and inspect the recorded decision and operation receipt.

  5. Review outcomes

Close a test opportunity as Won or Lost with a reason. Check the receipt and the Relationship Overview before expanding to more constituent relationships.

All questions
How do I get started?

Click Get started, then use Proto to configure CRM for Nonprofits for your business. Begin with one constituent, one funding opportunity, its case lines and a submitted pledge so the team can rehearse the full handoff.

Who owns a funding opportunity?

Each opportunity has an owner linked to team members. Decide who keeps its expected close date and next step current before importing open work.

Can a constituent have more than one contact?

Yes. Contacts link each person to a constituent account, with their role and contact details. The opportunity can also name a primary contact.

How does an opportunity become a proposal?

Qualification moves New to Qualified and records activity and a receipt. Reaching Qualified triggers proposal submission, which logs an email activity, moves the opportunity to Proposal and writes another receipt. Confirm external delivery separately.

Where does the funding ask live?

Funding case lines belong to the opportunity. They record funding item, quantity, unit amount and funding type, with an optional link to a funding program.

How is a donor pledge reviewed?

An Independent Reviewer checks the pledge and support before submission. Submitted status triggers the review workflow, which records an independent decision, changes the pledge to Approved and writes an operation receipt. Confirm the reviewer differs from the pledge owner.

What is the difference between a pledge and an opportunity?

The opportunity tracks the funding pursuit and its expected value. A pledge is a separate commitment record with its own purpose, amount, status and decision.

Where do supporting documents go?

Evidence attachments keep a title, kind and reference URL, linked to an opportunity or pledge. Agree where the files themselves will be stored during setup.

How do we see unfinished outreach?

Open constituent follow-ups show calls, meetings, emails and tasks with their owner, due date and parent opportunity. Relationship Overview also presents open follow-up coverage.

What should we check after closing a case?

Inspect the Won or Lost status, supplied reason and operation receipt. Compare any linked pledge and independent decision separately, then set the next relationship follow-up where appropriate.
