Help your team prepare the next customer action

Use Proto to prepare customer work and help the responsible person inspect evidence before taking an action.

It can

  • Relationship Owner: Help summarize customer activities, inspect due promises and prepare proposal scope with its next activity.
  • Sales Manager: Compare the submitted revision with the evidence needed for a follow-up or customer-outcome decision.
  • App Administrator: Help inspect account eligibility and membership inside the operating organization.
  • Auditor: Trace a completed promise, closing decision or unresolved operation through its retained evidence.

Stays with a person

  • The assistant works within the user's authorized scope.
  • It cannot supply the independent human review, complete an unapproved promise or invent an authoritative result for an external operation.
  • The responsible Sales Manager decides the submitted revision through the authorized action.
  • When investigating an exception, ask for an evidence summary before changing the record.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Choose the pilot

Select an ordinary customer opportunity with a promised follow-up. Name the Relationship Owner, an independent Sales Manager and the Auditor who will inspect the evidence.

  2. Prepare operating scope

App Administrator establishes eligible accounts and membership. Admin arranges technical access. Agree the organization settings and how the team interprets activity, promise and expected closing dates.

  3. Prepare the customer discussion

Record the discovery evidence, qualify the assigned revision and submit proposal scope with a next activity. Keep the supporting files attached to the opportunity.

  4. Rehearse the promise

Submit a follow-up commitment, return it for clarification and review the corrected revision. Confirm that completion requires the approving decision and linked operation evidence, with decision and completion dates retained.

  5. Verify outcomes and exceptions

Run separate Won and Lost cases with independent review. Try stale and unauthorized requests, reconcile a mismatched receipt and rehearse compensation for executed scope without deleting history.

All questions
How do I get started?

Click Get started, then use Proto to configure CRM for Small Business for your business. Start with a familiar customer opportunity, a promised follow-up and separate Relationship Owner and Sales Manager identities. Rehearse proposal submission, commitment review and a verified closing outcome.

What supports qualification?

Relationship Owner uses logged customer evidence for the assigned opportunity. Before changing the record, the action checks that the owner is working in the correct organization and that the request matches the stored opportunity revision. It retains the result so the team can trace why qualification proceeded.

What does proposal submission need?

Prepare the proposal scope and a next relationship activity for the assigned opportunity. Submission retains the outcome in activity history and an operation receipt so the team can follow the next customer action.

How is a follow-up commitment different from an activity?

Activity history records calls, meetings, emails and tasks around the opportunity. A follow-up commitment identifies promised customer work with its own subject, due date and review lifecycle before completion.

Who decides whether a promise can be completed?

An independent Sales Manager reviews the submitted commitment revision and records the decision. Completion requires the approving decision and its linked operation evidence, with decision and completion dates retained.

Can the person preparing the work also approve it?

The review must be independent of the preparer for that revision. Arrange an eligible Sales Manager who can assess the submitted evidence separately, even when the operating team is small.

What happens when the reviewer returns a commitment?

Relationship Owner follows the agreed correction path and submits the corrected revision for review. Keep the original submitted content and decision history available rather than editing the frozen submission underneath the reviewer.

Does a completed follow-up mean the sale is Won?

The commitment describes the promised customer work. Closing the opportunity requires separate verified acceptance or loss evidence and independent review of the exact stored opportunity revision.

What stays in the record after closing?

Won retains the winning date and Lost retains a loss reason. Both preserve the prior expected USD value and activity evidence so the team can explain how the discussion ended.

How do we handle an uncertain connected-system result?

Sales Manager compares the operation claim with the linked local effects and obtains the authoritative source result when an external reference is involved. Keep discrepancies visible and use the approved correction path without automatically reversing an externally controlled effect.
