Ask Proto to trace the work

Use Proto to prepare records, inspect exceptions and support human decisions.

It can

  • Accounting Preparer: Find assigned draft documents, check their counterparty and supporting file, and prepare a review handoff.
  • Accounting Reviewer: Show the current revision, decision history and provider evidence for a document awaiting judgment.
  • Auditor: Trace a confirmed document from its decision to the provider event and account movement.
  • Administrator: Check organization and team membership before a pilot begins.

Stays with a person

  • A person decides whether to approve a revision.
  • Provider evidence determines whether an external instruction completed.
  • Proto can surface discrepancies and prepare the record for review, but the responsible reviewer must make the decision and the designated provider must supply the outcome.
  • Review access and action permissions are metered and controlled by the configured app roles.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Define scope

Pick an organization, its finance team, active suppliers and the account that will anchor the first reconciliation.

  2. Prepare records

Load users, team members, business partners, ledger accounts and an opening provider balance snapshot.

  3. Run document review

Prepare one dated accounting document with lines and an attachment. Have a different person review the current revision.

  4. Connect provider evidence

Submit an authorized instruction through the designated provider connection and collect its real outcome reference.

  5. Reconcile and review

Match a provider movement only when account, amount and occurrence date agree. Investigate a deliberately mismatched case.

FAQ

Questions, answered

Scope, rollout and pricing for Accounting Document and Account Reconciliation.

All questions
How do I get started?

Click Get started, then use Proto to configure Accounting Document and Account Reconciliation for your business. Begin with one organization, a supplier-related document, one account and a provider outcome that your team can verify.

Who prepares a finance document?

Accounting Preparer records the owner, organization, counterparty, date, gross amount, account lines and supporting evidence before review.

Who decides an authorization?

Accounting Reviewer checks the current revision and records an independent decision and reason. A preparer cannot approve their own submission.

What happens when a document changes after review?

The changed revision needs a fresh decision before a further authorized action. Earlier decisions remain part of the record history.

Does submission mean the provider completed an instruction?

Submission records the request and provider identifier. Confirmation follows verified confirmation or settlement evidence from the provider.

How is a provider movement matched?

The reviewer compares it with a confirmed document on the same account. Amount and occurrence date must agree exactly.

What happens to a difference?

The movement stays unmatched or becomes an exception. The team investigates the provider event, account and candidate document before changing its disposition.

Can an auditor alter the evidence?

Auditor has read access to authorized records and reports within the assigned scope, without record writes or financial action execution.

How are interrupted actions checked?

An operation receipt retains the action key and claimed effect references. Reviewers inspect those local effects before closing the receipt.

What needs to be connected?

Choose the financial provider and the sources for movement, balance and document evidence. Agree how their identifiers, dates and corrections are captured.
