Prepare the next decision with Proto

Ask Proto to prepare configuration and explain operational work while business owners retain their decisions.

It can

  • Sales Rep: Show my qualified leads, confirm the linked customer identities and prepare the next follow-up activity for review.
  • Sales Manager: Summarize the submitted quote revision and its margin review state before I decide whether to approve it.
  • Purchasing Manager: Find the supplier orders behind a material shortage and explain which quantities are acknowledged or still awaiting acceptance.
  • Production Planner: Compare the planned work with reported completion and identify the component requirement behind a delay.

Stays with a person

  • Proto needs the business's operating policy and the acting employee's authority.
  • Commercial acceptance, credit exceptions and payment release require the named person's decision.
  • A prepared bank instruction or signing request does not establish an external outcome.
  • Review the source and affected revision before authorizing a financial action.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the pilot

Choose the entity, warehouse and product family. Sales Manager and Finance Manager confirm the customer commitment, approval responsibilities and period to use for rehearsal.

  2. Reconcile the foundations

Review customer and supplier identities, product units, payment terms and currencies. Reconcile opening stock, outstanding obligations, unapplied receipts and asset-book balances with their owners.

  3. Configure decisions and access

Map employees to logins and set preparation, approval and release responsibilities. Agree credit review, purchasing escalation and financial correction policies. Test personal queues and restricted records with representative employees.

  4. Rehearse customer demand

Convert an existing customer’s lead, review a quote and approve an order. Follow partial supply through shipment, invoice approval and customer cash application. Retain the remaining quantities and balances after each step.

  5. Rehearse buying and production

Approve a supplier order, record partial acceptance and resolve a bill difference. Where manufacturing is in scope, follow a shortage through planning and accepted terminal output before dispatch.

FAQ

Questions, answered

Scope, rollout and pricing for ERP + CRM.

All questions
How do I get started?

Click Get started, then use Proto to configure ERP + CRM for your business. Begin with a pilot entity, a warehouse and a product family. Rehearse a qualified lead through an approved order, partial shipment, customer invoice and cash application before widening the scope.

Can we reuse an existing customer when converting a lead?

Yes. Sales Rep checks the customer and contact identity during conversion and links the existing records where appropriate. Repeating conversion should return the same linked opportunity and customer records. Agree the identity-matching procedure during setup.

Who approves quotes and customer orders?

Sales Manager reviews the submitted commercial revision. Finance Manager handles required credit exceptions. Customer acceptance, internal commercial approval and resolution of a credit hold are distinct decisions with their own evidence.

How do partial deliveries affect billing?

Order lines retain shipped and invoiced quantities, and invoice lines link to shipment or sales-allocation scope. Accountant checks the remaining eligible quantity before preparing billing, and Finance Manager reviews the pending invoice revision.

Can we handle recurring customer agreements?

Contracts retain active dates and billing details, while contract items and cycles retain the recurring scope. Agree whether each cycle produces a delivery order or direct billing and who follows signing, suspension and renewal decisions.

What happens when the supplier bills more than we accepted?

Accountant reviews the bill's matching difference against the order and accepted goods or services. Purchasing Manager resolves the supplier discrepancy before Finance Manager approves the charge. The arrival quantity and accepted quantity remain separately visible.

How does production connect to customer demand?

Material planning requirements retain the demand they support. Production Planner firms the response and releases work against a reviewed bill of material and routing. Accepted terminal output becomes the basis for finished-stock handling and later customer dispatch.

What does the asset page show?

Assets and Depreciation shows the register, category valuation, charged depreciation, event history and per-asset book schedules on a declared Book or Tax basis. Review the selected basis and posted run before comparing period charges.

Are banks, signatures and carriers part of setup?

Yes. Choose the providers and confirmation methods needed for the pilot, then configure their connections. Admin and the business owner rehearse rejected and repeated events. A local send or release action does not replace the provider's outcome.

How do we prepare for period close?

Accountant reconciles the financial sources, posts reviewed depreciation and completes assigned close tasks with evidence. Finance Manager reviews prerequisites and sign-off before moving the accounting period through the agreed close states.
