Proto assistance for property work

Prepare lease reviews and collection checks while the operating team retains decisions.

It can

  • Property Manager: Prepare the selected lease's unit, tenant, dates and rent for review, including competing Active or Notice agreements on the same unit.
  • Property Reviewer: Organize the agreement information and active staff identity checks needed for the lease activation decision.
  • Finance Officer: Explain the tenant's Posted charges and eligible allocations from Confirmed receipts, with unallocated money shown separately.
  • Property Coordinator: Prepare the assigned service queue or summarize buyer reservations needing an outcome update.

Stays with a person

  • Property Reviewer remains responsible for approving or rejecting lease activation.
  • Finance Officer needs payment evidence before confirming money.
  • The assistant must use the acting person's permissions and the configured decision path.
  • Review the target records before making a change.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating scope

Property Manager chooses a representative property with current agreements and identifiable units. Include buyer bookings and lease-linked development work where those processes belong in the first operating cycle.

  2. Prepare identities and references

Reconcile the unit and party register, then link each staff identity to the correct account. Check Property Reviewer access and configure Admin’s agreed identity, allocation and evidence-reading responsibilities.

  3. Rehearse the lease decision

Prepare an eligible agreement and an overlapping request for the same unit. Property Reviewer checks the terms and decides activation. Inspect the resulting unit position and monthly rent periods, then repeat the action to check for duplicate billing.

  4. Reconcile collection

Finance Officer reviews a charge and an evidenced tenant payment. Rehearse the configured allocation handoff with a partial amount, then review a reversed payment and its existing allocations before accepting the revised balance.

  5. Add property work

Configure the team’s service and booking screens. Resolve the personal service list to the signed-in staff member. Follow a repair to completion and a buyer reservation to its actual outcome, reviewing unit condition and payment evidence separately.

FAQ

Questions, answered

Scope, rollout and pricing for Real Estate ERP.

All questions
How do I get started?

Click Get started, then use Proto to configure ERP for Real Estate for your business. Pilot a property with an eligible lease, an overlapping request, a partial tenant payment and an assigned service issue. Confirm the reviewer identity and allocation handoff before expanding. Follow get started.

What does ERP for Real Estate cover?

It connects units and parties to lease terms, activation review, monthly rent charges and tenant payments. The team also follows service work, buyer bookings and lease-linked development projects. Business Overview shows the lease portfolio, status distribution, renewal watch and work queue.

Who approves a lease?

Property Reviewer uses Lease Desk to decide a lease in Review. Activation checks the reviewer's active staff identity, the lease dates and rent, and competing Active or Notice agreements for the same unit. After approval, inspect the lease, unit position and monthly rent charges together.

How do we handle a lease that starts in the future?

Successful activation sets the unit Reserved for a future start or Occupied as applicable. Property Manager checks the lease dates and unit position together. Agree who reviews the unit at the start-date handoff and rehearse that procedure during setup.

Will repeating activation bill the same rent period again?

The activation workflow protects an existing lease period from duplicate rent-charge creation. During the pilot, repeat the action and compare the resulting monthly periods with the original agreement. Finance Officer checks the amounts and charge states before collection.

How are partial tenant payments handled?

A receipt allocation links part of a Confirmed payment to a charge. Finance Officer reconciles the remaining charge and unallocated money. For example, allocating a 1,500 payment to a 2,000 charge leaves 500 on the charge. Configure Admin's allocation maintenance access and rehearse that handoff before live collection.

How do we check a booking deposit?

The booking records its deposit amount alongside the buyer and unit. Finance Officer checks the actual payment evidence through the agreed collection process. If the buyer cancels, review the commercial outcome and any required money handling separately.

How does development capture work?

Property Coordinator captures the project name, parcel reference, dates and budget against the operational lease. Set up and rehearse processing on project creation with Property Manager, including date-order and duplicate-project checks. Review the resulting feedback and attributed evidence through the agreed access path.

Which outside systems can we connect?

Set up connections to the customer's chosen bank or payment service, accounting system, document and signing service, and tenant communication service. Agree record ownership, access and reconciliation for each connection during implementation.

How is ERP for Real Estate priced?

Ordinary manual work and metered machine activity follow the platform rate card. Implementation is scoped separately. Review pricing before agreeing the pilot's imports, connections and agent activity.
