Prepare work with Proto

Ask Proto to prepare scoped work and show the evidence for human decisions.

It can

  • Sales Representative: Prepare a dealer order from an accepted offer and show the price, promise and credit review needed before submission.
  • Purchasing Manager: Find open supplier commitments for a dealer shortage and prepare a bounded purchase for review.
  • Warehouse Manager: Show available stock, assigned picks and route exceptions for the selected entity and warehouse.
  • Accountant: Gather accepted receipt matches, unbilled delivered scope and unreconciled cash for review.

Stays with a person

  • Proto can prepare and explain work within a person's access.
  • The named manager still decides commercial, stock and finance gates.
  • A carrier or bank outcome requires actual source evidence.
  • Ask for the record and decision reason before approving a changed commitment or posting a correction.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the operating scope

Select a legal entity, warehouse, product group and representative dealers and suppliers. Name commercial, warehouse and finance decision owners.

  2. Prepare masters

Review units, locations, prices, cost standards, terms, tax treatment, posting profiles and authority limits.

  3. Move opening balances

Reconcile stock, open orders, receivables, payables and bank positions to a single cutoff before applying the migration batch.

  4. Rehearse end to end

Submit and approve a dealer order, source a shortage, accept part of a receipt, ship part of the order, invoice and allocate actual cash.

  5. Review exceptions

Exercise a refused delivery, a count variance, a supplier bill mismatch and a period close with independent decisions.

All questions
How do I get started?

Click Get started, then use Proto to configure ERP for Rubber for your business. Begin with one entity, warehouse, a small product set and a representative dealer order that you can carry through receipt, delivery and billing.

Who approves a dealer order?

Sales Manager independently reviews the accepted commercial revision. Finance Manager decides a required credit exception within its authority before the order can proceed.

Can an order be delivered in parts?

Yes. Shipment and billing allocations retain the accepted line scope, so each partial delivery consumes only its eligible quantity and value.

How are supplier receipts handled?

Warehouse Operator records actual arrival. An independently confirmed acceptance identifies which portion can become usable stock; pending and rejected portions stay separate.

Can we track lots and warehouses?

Product lot control, warehouse locations and stock positions keep owned quantity and custody state visible. Reservations and transfers retain their source and remaining quantity.

Can we assemble kits?

Bill of materials, routings, work orders, operation entries and production completions support bounded assembly, kitting and repacking.

How do routes reflect a failed visit?

The route plan holds stops and assignment. A delivery attempt and line result record what happened, including failed, refused and damaged quantities.

What happens when goods are returned?

A return authorization bounds the original shipment or receipt. Physical movement and disposition are recorded separately from any credit or refund.

How does invoicing stay tied to delivery?

Customer invoice lines claim only eligible title-transferred, unbilled shipment scope at the accepted order value. Finance Manager reviews the prepared invoice before posting.

How are payments reconciled?

Cash applications and supplier payments retain their source amounts. Bank statement and provider outcomes establish actual settlement, while ambiguous responses remain for review.
