Prepare the approval queue with Proto

Prepare approvals, outcomes and inbox work with Proto.

It can

  • Content Creator: List my rejected posts with the approver's comments.
  • Approver: Show the approval steps waiting for me with the post and its targets.
  • Marketing Manager: List channel targets that failed this week with their reasons.
  • Community Manager: Show my open messages ordered by time left to respond.

Stays with a person

  • Approver decides an assigned step, Marketing Manager checks the post approval chain and Community Manager handles replies.
  • Proto prepares lists and drafts for them; it does not approve, publish or reply on its own, and it works with the permissions of the person or service account it runs as.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating boundary

The system holds posts, approvals, channel outcomes, campaigns, inbox, mentions, engagement and analytics. Channel publishing, listening and engagement data come through connections. The team decides its approval chain and response times.

  2. Map the source data

Agree account codes, the content library, tags, hashtag groups and routing rules.

  3. Configure a bounded pilot

Use a pilot campaign to test drafting, approval, recorded channel outcomes, inbox assignment and daily reporting.

  4. Rehearse the exceptions

Check that resubmission reuses an existing approval chain, failed destinations stay visible, unmatched messages remain New and repeated daily rollups update their existing records.

  5. Reconcile and release

Compare planned posts and open conversations with the current tool, get sign-off from Marketing Manager and agree the rollback window before cut-over.

FAQ

Questions, answered

Scope, rollout and pricing for Social Media Management.

All questions
How do I get started?

Click Get started, then use Proto to configure Social Media Management for your business. Start with your main accounts, your approval chain and one campaign, and add inbox routing and competitor research once approvals run smoothly.

How does approval work?

The review plan uses Brand, Legal and Executive approval steps. Each assigned Approver records a decision and comments. Marketing Manager checks the required decisions before accepting the post. During setup, rehearse submission and resubmission so an existing chain is reused.

What if a post fails on one account?

Each account has its own outcome. A failed account keeps its reason and stays visible even when the post published elsewhere.

How are messages assigned?

Routing rules hold account, channel, sentiment and keyword conditions with a priority and a Community Manager pool. During setup, test the first matching rule and keep unmatched New messages visible for manual assignment.

Are response times tracked?

Inbox messages retain receipt, assignment and first-response times, plus a response allowance. Agree how to measure a breach and test it against an actual conversation before relying on the result.

Can we reuse content?

Yes. Images, video, copy snippets and link templates are kept in the content library with tags and expiry dates.

How is performance measured?

Post Analytics holds dated results for each post and social account, including impressions, reach and engagements. Set up the daily rollup and verify repeated runs against the same post, account and date.

Can we watch competitors?

Competitor accounts and captured posts can hold source links, publication and capture times, and observed likes, shares and comments. Connect an authorized source before using the records for live monitoring.

What drives the cost?

Ordinary manual use has no per-user charge under the platform policy. Imports, integrations, agent execution and other machine work use prepaid credits; implementation is scoped separately. The pricing page lists current rates.
