What you can do
Build the week from services and instructors
Every class on the timetable starts from a service in the catalogue. A service carries its name, length in minutes, standard capacity and price, and an active flag that controls whether the front desk can still sell it. A session is one delivery of that service at a set start and end time, taught by a named instructor from the staff list, with its own capacity for the space it runs in.
The Studio Manager owns the timetable. A new session starts as Planned while the manager confirms the space and the instructor. It moves to Open when it takes bookings, to Full when its places are used, and to Completed after the class has run and every booking is accounted for. A class that cannot run is marked Cancelled so the front desk can contact the booked members.
How the work is organized
- Services first. Agree the catalogue of classes and treatments, with duration, capacity and price, before any session is created. Retire a service by clearing its active flag; past sessions keep their link.
- Session capacity per room. Set the session capacity for the space in use. A 20-mat hot room and a 12-cushion meditation room can run the same service with different limits.
- One instructor per session. Each session names the instructor who teaches it. A cover teacher replaces the instructor on that session only, and the change stays visible to the front desk.
What to agree during setup
Bring the current timetable, the service list with prices and durations, and the capacity of each practice space. Agree who may open a session for booking, who may cancel one, and how much notice members get when a class is cancelled. Decide whether workshops and private sessions are separate services or variants of a regular class. Name the instructors in the staff list and link each one to their platform user so they see their own sessions.
Check the handoff on an actual case
Take Saturday’s 9:00 Vinyasa Flow, a 75-minute service with a standard capacity of 20. The Studio Manager schedules the session for the main studio with the senior instructor, checks the start and end times against the rest of the timetable, and opens it on Monday. By Thursday the front desk has confirmed 20 places and the session shows Full, so new requests wait at the desk.
On Friday the instructor calls in sick. The Studio Manager assigns a cover instructor to the session and the front desk sees the new name on the Upcoming Sessions screen before members arrive. Had no cover been found, the manager would mark the session Cancelled and the front desk would cancel the confirmed bookings and pass any refunds to accounts.
