Work with the right context
Store people against the right company and distinguish a buying role from a job title. A contact can participate in several opportunities without creating duplicate person records. Keep the primary contact clear so proposal follow-up reaches the intended person.
Keep the next action clear
Communication preferences travel with the contact. A visible email address is not permission to import another person’s mailbox or start a marketing campaign. Private conversation content remains governed by the mailbox owner and the record sharing policy.
Coordinate the workflow
Develop opportunity. Advance an open opportunity through permitted stages with an expected revision. Record each transition in StageChanges. Use contacts from the accessible account and maintain one primary buying contact. Amount is the sum of product lines in the opportunity currency; a stage change preserves its history.
Coordinate activity. Keep meetings with EndTime after StartTime and tasks with explicit due dates. Sync only the authorized mailbox from its configured boundary, deduplicating provider messages. Match messages to accessible contacts and activities; unmatched private mail stays private. A message receipt does not mark a task complete or imply consent.
Multi-contact deals. A buyer and evaluator appear with their distinct roles. Reject contacts from inaccessible accounts or concurrent duplicate primaries.
Email sync. A correlated provider message is linked once to an accessible activity. Reject another user private mailbox access and stop sync after revocation.
Map the buying committee
An opportunity can involve a budget owner, an evaluator and a purchasing contact. Add each person through the opportunity contact relationship and describe their buying role for that deal. The same person may be the evaluator on one opportunity and the sponsor on another. Keeping those roles on the relationship avoids changing the person’s entire contact profile whenever a new project starts.
Designate the primary contact deliberately. If two colleagues try to make different people primary at the same time, the change must leave one clear result. Review the latest relationship before continuing. The primary person provides an obvious starting point for follow-up, while the rest of the committee remains visible to people entitled to work on the deal.
Prepare a useful customer conversation
Before a proposal meeting, review the contact’s account, their role in the opportunity and the permitted conversation notes. A changed job title or email address should be corrected on the person record, keeping earlier activity references intact. If the contact has left the company, resolve their active deal relationships before sending further proposal correspondence.
A sales conversation and a marketing audience have different purposes. A contact directory can help the sales team find the appropriate person; it cannot grant permission to subscribe that person to a campaign. Likewise, an imported email remains governed by its owner’s sharing choice. The outcome is a buying committee the team can explain, with one customer identity and a clear boundary around private communication.
