Work with the right context

Build the proposal from the opportunity’s products and quantities. Review the discount, currency, validity date and customer terms together, because the customer accepts the complete proposal. The catalogue provides a starting price; it does not determine every negotiated term.

Keep the next action clear

Submit the version you intend to share. The manager reviews that same version and records the decision. If the customer requests another change, prepare a new version so the team can see which terms were approved and which were ultimately accepted.

Coordinate the workflow

Prepare proposal. Prepare a versioned quote from opportunity products, with quantities, currency, validity and terms. The server calculates totals and validates discounts. Submit a protected snapshot with Status: Draft → Submitted; later line or terms edits require a new draft version and invalidate the old approval.

Approve terms. Sales Manager approves submitted quote terms independently of PreparedBy and records the approved Revision. A manager preparing their own deal needs another authorized Sales Manager. Probability overrides use a separate ApprovalRequests decision tied to the opportunity Revision; approval never follows solely from a high score.

Close deal. Close Won only with an accepted, currently approved quote and retained customer acceptance evidence. Stamp ClosedAt and the closed amount; quota reports use that currency and period. Close Lost requires a reason. Reopening is a recorded manager-authorized transition and reverses the prior closed contribution without deleting history. Close atomically appends OpportunityCloseEvents and freezes ClosedAmount, ClosedCurrency, ClosedOwner and ClosedPeriodStart/End on the opportunity. Won amount equals the accepted quote total in its currency; periods use the configured reporting calendar. Draft product edits cannot change closed actuals. Only a scoped Sales Manager may reopen a closed deal, appending one Reopened event referencing the prior close before returning it to Open; repeated reopening reuses that reversal. Re-closing requires current accepted terms and a new immutable event. Quota actuals sum un-reversed Won events by frozen owner, period and currency, never mutable OpportunityProducts or current ownership.

Quote approvals. An independent manager approves the exact terms subsequently accepted. Reject self-approval, expired terms or acceptance after a line edit.

Win probability. An approved override updates the weighted amount once. Reject direct probability edits that bypass the reviewed request.

Handle a customer revision

A customer accepts the proposed products but asks for a larger quantity and a different discount. Prepare those changes as a revised proposal and submit the new version for review. The earlier approval belongs to its original quantities and prices. Reusing it for changed commercial terms would hide the decision the manager is being asked to make.

Check the proposal’s currency, validity and totals together. A catalogue price in another currency needs an explicit agreed value; displaying a different currency symbol cannot perform that conversion. Quantities must be positive and discounts remain within their permitted range. The customer should receive one coherent version whose line amounts can be reconciled to its total.

Separate approval from acceptance

Internal approval permits the reviewed proposal to proceed. Customer acceptance is a later event with its own evidence. Attach the accepted document or retain the acknowledgement from the configured signing service, and confirm that it identifies the approved version. An expired proposal or a locally submitted signing request does not establish customer acceptance.

When the opportunity is closed as won, retain the relationship to those accepted terms. The sales result can then be explained during a forecast review or handed to another operational system. Invoicing and fulfillment follow their own configured processes; a won deal does not create an accounting entry by implication.
