Prepare the next fleet action with Proto

Use Proto to prepare load decisions and assemble the evidence needed for charging, readiness and delivery review.

It can

  • Fleet Planner: Gather the current load revision, equipment requirement and stop windows before requesting scope review.
  • Dispatcher: Assemble the assignment period, driver eligibility context and vehicle readiness for the departure discussion.
  • Charging Coordinator: Match the recorded session details with the actual charger receipt and identify discrepancies for review.
  • Fleet Technician: Find unresolved defects and EV battery service work associated with the vehicle under consideration.

Stays with a person

  • The assistant cannot replace a required reviewer decision or invent a charger receipt, repair reference or delivery signature.
  • A recorded charge percentage cannot guarantee range.
  • Technical access does not authorize business approval, and a Completed result does not automatically make a receipt Verified or a freight charge Paid.
  • Agent requests and automated activity use platform usage.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree identity and scope

Admin establishes the operating organization and authenticated staff mapping. Confirm driver eligibility sources and vehicle identifiers with the people maintaining them.

  2. Prepare a representative load

The Fleet Planner records the lane, stop windows and delivery promise. Agree requested units and equipment capacity interpretation before reviewing the current revision.

  3. Assign and check readiness

The Dispatcher prepares the driver and vehicle period. The Fleet Technician reviews defects and service plans, while the Charging Coordinator records the session and supplies its actual receipt.

  4. Review charging and dispatch

The Operations Reviewer checks the charging evidence and any required readiness release. Follow the eligible assignment through actual events and stop progress.

  5. Verify the outcome

Capture and review delivery proof, inspect operation receipts and follow freight charges through their agreed financial process. Rehearse an unresolved result and a correction before expanding to more loads.

FAQ

Questions, answered

Scope, rollout and pricing for EV Fleet Management.

All questions
How do I get started?

Click Get started, then use Proto to configure EV Fleet Management for your business. Start with a representative load, an electric vehicle and a charger receipt the team can verify. Rehearse assignment, readiness and delivery review before expanding the process.

What does a charging session record?

It records the vehicle identifier, start date, energy in kilowatt-hours and ending state of charge against the parent load and organization. The reviewer uses those details when matching the actual charger receipt before verified closure.

What is required to close a charging session?

An actual charger receipt must support the session being closed. The Operations Reviewer compares the evidence with the submitted revision and resolves mismatched vehicle or energy details before accepting completion.

Does the ending charge guarantee range?

No. Range remains an estimate that depends on the operating assumptions used by your fleet. Keep those assumptions separate from the verified charging result and consider them alongside the actual load and vehicle condition.

How does dispatch choose a vehicle?

The Dispatcher checks the equipment class, capacity and readiness against the load and assignment period. Driver eligibility and availability also need review. Agree how requested units relate to capacity in pounds during setup.

How is EV battery service followed?

Maintenance plans include EV Battery Check work with a next-due date and service status. The Fleet Technician follows that work alongside inspection results and defect evidence when explaining vehicle readiness.

Can the app keep mixed-fleet energy records?

Yes. Fuel and energy purchases identify their type, including Electric, and link to the vehicle. Keep the measurement and cost basis explicit when reviewing electric purchases alongside other fuel types.

What supports delivery verification?

Delivery proof identifies the load, stop, delivery date, recipient and signature reference. The Operations Reviewer verifies eligible evidence or keeps a disputed case visible for investigation. A journey event alone does not replace the proof required by the operating process.

How are uncertain operation results handled?

The Operations Reviewer compares the receipt claim with the actual source records and effect references. Pending, Failed and Needs review results remain available for investigation. A Completed result and a Verified receipt are separate recorded states.

How do freight charges relate to a completed load?

Charges remain linked to the load but follow their own financial lifecycle and currency. Delivery verification can support charge review; it does not by itself establish an invoice or payment result. Configure the accounting handoff your operation needs.
