Assistance for dispatch and fleet review

Use Proto to prepare fleet work and assemble the evidence needed by dispatch and independent reviewers.

It can

  • Dispatcher: Assemble the planned load, stop windows and assignment interval for the next feasibility check.
  • Fleet Coordinator: Identify upcoming assignments whose driver eligibility or vehicle readiness needs attention.
  • Maintenance Coordinator: Bring together the service details and supporting evidence for a maintenance release submission.
  • Transport Supervisor: Summarize the current load and maintenance revision before the independent decision.

Stays with a person

  • The responsible people confirm physical pickup, delivery and maintenance work.
  • The Transport Supervisor owns independent release and correction decisions.
  • External authorities and operating systems supply their own evidence; the assistant needs that confirmation and the configured access boundaries before preparing work that depends on it.
  • Agent usage is metered.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Choose the operating scope

Select a familiar load, vehicle and driver with known pickup and delivery expectations. Name the Dispatcher, Fleet Coordinator and Transport Supervisor responsible for the pilot.

  2. Prepare reference information

Establish organizational membership, partner contacts and vehicle identities. Check driver eligibility dates against their source and agree the time-zone convention for assignments and delivery commitments.

  3. Plan and check the assignment

Record the original delivery promise and stop windows. Review driver eligibility, vehicle readiness and overlapping intervals before confirming the arrangement.

  4. Rehearse maintenance release

Use actual service evidence for a vehicle requiring release. Have the assigned Dispatcher submit the current plan and an independent supervisor review it. Inspect the action result and readiness before dispatch relies on the outcome.

  5. Complete and correct

Record actual pickup, stop activity and delivery. Rehearse an exception with an authorized correction to unexecuted scope, preserving the original evidence and compensating action result.

FAQ

Questions, answered

Scope, rollout and pricing for Fleet Management System.

All questions
How do I get started?

Click Get started, then use Proto to configure Fleet Management System for your business. Begin with a familiar load, driver and vehicle. Name the Dispatcher and independent Transport Supervisor who will rehearse the operating cycle.

What does the Dispatcher check before dispatch?

The Dispatcher checks driver eligibility through the assignment interval, vehicle readiness and conflicting driver or vehicle assignments. Review equipment suitability and any required maintenance release before recording physical pickup.

How are driver and vehicle assignments recorded?

Each assignment connects the load to its driver and vehicle with start and end dates. Held and Confirmed arrangements are checked before dispatch, and the assignment state follows the actual operating handoff.

Who authorizes release after maintenance?

The assigned Dispatcher submits the maintenance plan with supporting evidence. The Transport Supervisor independently reviews the current scope and revision. Dispatch then checks the release action result and resulting vehicle readiness.

What if maintenance evidence disagrees with the plan?

The reviewer can reject or return the plan with a reason. Correct the affected information through the agreed revision practice and present the current evidence for another decision before relying on release.

How is late delivery assessed?

Retain the original promised delivery time and compare it with the actual delivery observation. Stop arrivals, departures and proof references provide context when the operating team investigates the outcome.

What happens when a load cannot continue as planned?

The Dispatcher records the exception and supplies the retained operating evidence. The Transport Supervisor authorizes the appropriate correction or cancellation of unexecuted scope, with the original evidence preserved.

Can a failed operation be retried immediately?

First inspect the receipt, expected revision and linked effects. Reconciliation checks what already happened and keeps unresolved discrepancies visible until the authoritative source confirms the outcome. The responsible owner then decides the appropriate follow-up.

Does Delivered mean the carrier invoice is settled?

Delivered records the transport outcome. Carrier accounting uses its own invoice and settlement evidence through the configured financial handoff.

How should supporting documents be shared?

Attach files to the correct load with a useful title, evidence type and visibility. Internal and Shared designations remain subject to the load's permitted audience. Rehearse access before relying on those files in a release review.
