From inspection to confirmed work

Inspection to verified maintenance completion ships ready to use. One step needs a named approval before the work moves on: Review maintenance (Maintenance Reviewer).

Prepare the next review with Proto

Ask Proto to prepare tire history, review queues and operation investigations for the responsible team.

It can

  • Tire Inspector: Show the dated observations for a tire serial and identify the load context before preparing another inspection.
  • Maintenance Reviewer: Gather the submitted reading, earlier position observations and supporting evidence for a rotation decision.
  • Fleet Coordinator: List vehicles on hold and the recorded defect evidence that needs review before dispatch.
  • Dispatcher: Compare the proposed driver and vehicle interval with existing commitments and recorded eligibility.

Stays with a person

  • Proto cannot inspect a physical tire or supply the independent person's maintenance decision.
  • The responsible team checks measurements, approves work and confirms its actual outcome.
  • Access follows the configured user and organization scope.
  • An uncertain result requires evidence from the system or person that owns the physical action before it can be treated as complete.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating boundary

Choose the organization, maintenance team and transport work for the pilot. Name Tire Inspector, Maintenance Reviewer and Dispatcher responsibilities, including who can investigate an uncertain physical outcome.

  2. Map identities and evidence

Prepare vehicle codes, driver eligibility sources, tire serial conventions and position wording. Map inspection parents to known loads and relevant assignments. Keep original observations and source revisions during import.

  3. Configure the pilot

Set up membership and access, then prepare ordinary tire work with the team. Review measurement units, attachment visibility, independent decisions and the evidence needed before marking maintenance Completed.

  4. Rehearse exceptions

Include self-approval, a changed serial after submission, a vehicle substitution, an overlapping assignment and a failed completion receipt. Confirm the team can resolve each case without losing the original observation or repeating physical work.

  5. Reconcile and release

Compare imported records with the source, inspect outstanding decisions and confirm operation outcomes. Have the operating owners accept the rehearsed scope before daily use, and keep the prior source available during the agreed cutover window.

All questions
How do I get started?

Click Get started, then use Proto to configure Tire Management for your business. Pilot an operating organization with known vehicle assignments, dated tire observations and an independent Maintenance Reviewer. Rehearse a rotation, a rejected request and an uncertain completion before expanding.

What does a tire inspection record?

The inspection retains the tire serial, inspection date, tread depth in thirty-seconds of an inch and position, together with its organization and parent load. Tire Inspector checks those details before submitting the observation for review.

How do we follow a tire after it changes position?

Keep the earlier observation and add the later dated observation for the same serial. Use the maintenance evidence to explain the change. Confirm the relevant vehicle through the parent load's assignment instead of attributing every observation to the latest assigned vehicle.

Who decides a rotation or replacement?

Maintenance Reviewer independently decides the submitted case with a recorded reason. Tire Inspector supplies the measurement and supporting evidence. A returned request needs clarification before work proceeds, while a rejected request does not authorize maintenance.

When can an inspection be marked Completed?

Complete an approved inspection after the actual maintenance evidence and the matching operation receipt support that outcome. A failed or uncertain result stays open for investigation until the team establishes what happened and retains the required receipt.

How do tire decisions affect dispatch?

Fleet Coordinator reviews vehicle readiness and defect repair evidence with Dispatcher. Dispatcher checks the driver and vehicle interval, eligibility and other commitments before release. The load retains its original promised delivery time alongside actual movement evidence.

How are attachments shared?

Supporting files belong to the parent load and retain their uploader, date, evidence type and Internal or Shared visibility. Agree the audience during setup and test access with a restricted account before sharing maintenance evidence across teams or partners.

What happens when an operation fails?

Operations Analyst reads the original receipt, checks its action and revision, and compares the linked effects with physical evidence. Unresolved outcomes remain visible for review. The investigation should establish whether the action occurred before another execution is considered.

Can we connect our fleet or workshop system?

Yes, as a connection to set up with the provider and responsible operating owner. Agree identity mappings, evidence references and retry behavior, then test duplicated events and uncertain outcomes. Review the integration plan before enabling recurring exchanges.

How is usage priced?

The base account and ordinary manual work in the official interface follow the platform's free usage policy. Machine work, model usage and retention beyond the included allowance are metered; implementation is priced separately. Use the pricing page for the rate card and credit rules.
