Start with the reader's question
A good knowledge article answers a specific question at the moment a reader needs help. Choose a template that fits the task: a how-to, troubleshooting guide, reference, policy, FAQ or release note. The template supplies a structure and required fields while the author supplies the actual product or service knowledge. A title and summary should help the reader decide whether the article answers their question before they open the full page.
Authors can add ordered sections, tags, related answers and supporting media. Image descriptions give readers context when the image is unavailable, and related links can identify prerequisites or the next step. A category places the answer within the help center without giving the author permission to expose an internal topic publicly.
Keep drafts separate from live answers
The working article can change while customers continue to read its last approved published version. Draft tags, attachment changes and revised wording do not appear in search or on a saved public link. That distinction matters when an urgent correction needs careful review: the editing workspace and the live customer answer are separate records of work.
Each edit advances the working revision. Submitting for review locks the complete article, including its tags, related links and media. If the author needs another change, they withdraw the current round or respond to requested changes before editing. A later reviewer cannot accidentally approve a moving target. Reserved article slugs also avoid a collision between two drafts preparing to publish at the same address.
Carry the context into review
The author can explain what changed and why the answer belongs in its chosen category. The review packet retains the exact content and audience being proposed. Required fields, same-tenant references, safe media and image descriptions are checked before that packet is accepted. A missing reviewer or unresolved ownership keeps the article in preparation rather than silently skipping the review.
The application uses US English as its authoritative locale. Translation workflows and language-specific variants need a separate agreed scope; an article template does not imply those features are configured. Before submitting, check a reader’s full path from search title through the answer, attachment and related article. The result should be useful on its own, with no customer-specific ticket details copied into a general help page and no draft material exposed through an attachment URL.
