Prepare work with Proto

Ask Proto to help prepare return work while people retain the review decisions.

It can

  • Inventory Coordinator: Draft a stock request from an item, location, requested quantity and required date for the coordinator to check.
  • Inventory Reviewer: Gather the current request, attachments and decision history for a human review.
  • Auditor: Trace a posted movement through its parent request, decision, operation receipt and reversal link.

Stays with a person

  • A person decides whether the current revision is approved and whether a failed action is safe to retry.
  • Check the lot release state, physical receipt and posted movement before claiming returned stock is available.
  • Proto can prepare the evidence trail, while the assigned team member makes the operational decision.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set operating scope

Configure the organization, members, active items and storage locations. Confirm base units and lot rules.

  2. Prepare return evidence

Choose a representative request and agree the attachments, visibility and review reasons staff will use.

  3. Rehearse decisions

Submit a revision, record an independent decision and repeat after changing requested units.

  4. Reconcile quantity

Reserve stock, post a signed movement and compare Operations Overview with the ledger and active claims.

  5. Expand carefully

Add refurbishment jobs, exception handling and more locations after the first trail is explainable.

FAQ

Questions, answered

Scope, rollout and pricing for SCM with Returns Management.

All questions
How do I get started?

Click Get started, then use Proto to configure SCM with Returns Management for your business. Pilot one organization, one receiving location, a small item set and a representative return request before expanding.

Who prepares a return request?

Inventory Coordinator records the item, location, counterparty, requested units, required date and owner, then collects the supporting attachments.

Who decides whether a request can proceed?

Inventory Reviewer records the decision and reason against the current request revision. The coordinator then works from the approved case.

How do we keep return evidence with the case?

Attach files to the parent stock request. Give each file a title and evidence type, and choose whether its visibility is Internal or Shared.

What does a reservation change?

An Active reservation holds quantity for a request and reduces available quantity in Operations Overview. It does not record a posted stock movement.

How is a lot handled?

The lot stores its code, expiration date and release state. Check those details before using its quantity for ordinary stock work.

What records the actual stock change?

A posted stock movement stores the signed quantity with its item, location, parent request and optional lot. A correction can reference the original movement.

How does refurbishment stay linked to a return?

The refurbishment job has a parent stock request and return reference. Its recovered units and grade stay on the job; the posted movement carries the quantity effect.

What if an operation fails?

Open the operation receipt, inspect its failure reason and expected revision, then compare any effect references with posted movements before another attempt.

Can we work across locations?

Yes. Requests, reservations and movements each identify the relevant storage location. Reconcile available quantity for the item and location before promising it to another request.
