Plan calls, tasks and meetings against the prospect’s actual context. Record the outcome after the conversation and set the next due date deliberately. Keep scheduled activity separate from completed engagement so the score does not count work that has not happened.
Use lists to organize permitted outreach, with contact policy checked when an action is taken. A list import must retain source evidence and existing restrictions. A later withdrawal takes effect even if the person remains in historical campaign or activity records.
Configure lead policy. Define acquisition sources, permitted contact purposes and qualification criteria. Record contact-policy evidence without treating an imported address as consent. Sales Manager defines territory coverage and eligible routing pools; inactive or absent staff cannot receive work.
Work the lead. Contact only through permitted channels, record meetings with bounded start and end times and update the follow-up outcome. An acknowledged priority alert does not qualify its lead. Withdrawing a contact purpose blocks new outreach even when a list membership or previous score remains active.
Engagement tracking. A completed interaction appears on the lead and eligible score explanation. Reject duplicate imported events or treating an open pixel as qualification.
Contact preferences. An allowed contact can join a permitted outreach list. A withdrawn or restricted purpose blocks future outbound actions.
A prospect who requested a product discussion has supplied context for that request. Joining a newsletter or receiving an ongoing campaign can involve a different purpose and channel. Keep the contact decision attached to its explicit scope so the representative can see which follow-up is permitted and which requires different evidence.
A list groups prospects for a defined use; membership is not a replacement for contact permission. When importing a list, preserve the source identities and preference evidence, then resolve duplicates before activating outreach. If two records disagree about a withdrawn preference, the review must not select the more permissive value simply because it is newer in the import file.
A prospect can withdraw one channel while remaining willing to discuss an active inquiry through another permitted route. Record the decision with its purpose, time and evidence, and apply it before the next relevant outreach action. A representative should not need to guess whether an old list membership overrules a later withdrawal.
The activity schedule shows planned follow-up, while preference history explains whether that conversation can proceed through its intended channel. Cancel or revise work that is no longer permitted. Keep the earlier planning and the reason for its change understandable to authorized colleagues. A useful outcome is a focused next conversation that respects the prospect’s current choice, rather than a larger activity count built from messages that should have been stopped.
