Start with a bounded stock request

Warehouse Operator prepares an issue for the required product, stocking quantity and assigned warehouse. An external demand reference connects the request to its sales or operating source. A configured incoming feed may prepare that request, but it does not prove that anyone picked or handed over goods.

The transaction keeps its entered unit and approved product conversion. Lot and serial requirements apply throughout the request. A later change to the product’s packaging cannot change the quantity already authorized or consumed by an existing issue.

  • Preserve the requested quantity and each partial operation.
  • Reconcile cancellation against the unissued remainder.

Reserve stock that is eligible now

A reservation attaches one demand to an exact stock position. Current available quantity respects ownership, status, expiry, active count locks and claims already held by other work. Warehouse Operator selects eligible lots using the configured expiry discipline and retains the exact serial where required.

A scheduled expiry update is not the last safeguard. Eligibility is checked again when stock is reserved and issued, so an overdue background job cannot make expired goods available. Held, quarantined, damaged or third-party custody does not silently enter the ordinary issue pool.

Record the actual issue once

Picking retains an in-place hard claim or carries the reservation to the picked position. It does not also consume the goods as a final issue. The later evidenced dispatch or internal consumption removes only the issued portion and its corresponding carried value.

Partial issues leave remaining demand visible. Completion requires the requested quantity to be issued or explicitly cancelled. Cancellation cannot free a claim while the goods remain physically picked in an unexplained location.

Each stock event retains the source action, actual operator and before-and-after position evidence. Concurrent requests cannot spend the same available quantity, and a repeated event cannot remove the same goods twice. Stock movements and cost allocations remain linked to the final operation.

Authorize returns against real history

Customer returns reference the original issue and its dispatched identity. Inventory Manager prepares the customer-return request; a different eligible Inventory Manager authorizes its bounded scope. Buyer prepares vendor returns against the original receipt, with independent Inventory Manager authorization.

The cumulative returned quantity cannot exceed the eligible original dispatch or receipt. A serial substitution, missing source lineage or already returned portion requires resolution before another effect. Approved imported history can support a return without replaying the old dispatch as a new issue.

Decide what happens to returned goods

Warehouse Operator records actual customer-return arrivals into held custody. An independent Inventory Manager reviews the supported ownership and simple stock-condition evidence before deciding restock, scrap or another permitted disposition. This is an inventory decision; any formal inspection program is managed separately.

Restocking consumes only the accepted held quantity and restores eligible stock with its traced source cost. Unaccepted third-party custody cannot create owned value. Vendor returns reserve the actual remaining receipt-descendant goods and remove their current carrying value. Any difference from the supplier’s original commercial price for the dispatched portion stays separate for external financial settlement. Returned, restocked, scrapped and unused authorized portions remain separately reconcilable.

A refund request is financial follow-up outside Inventory Management. The return’s financial reference and acknowledgment do not prove that money has been paid. Closing the inventory work cannot manufacture a refund result.

Keep corrections and reporting meaningful

A posted issue or return stays in history. Any compensation traces affected descendants and remaining quantities, preserving work that has already consumed the goods. Customer returns restore original issue-cost provenance before any required current-pool treatment. Vendor returns consume current receipt-descendant value, including prior pooling or standard-cost changes, so a fully returned quantity cannot leave stranded inventory value.

On-Hand by Warehouse and Lot Expiry Soon support selection. Inventory Turns & DOH and ABC Analysis use the disclosed eligible consumption population, keeping internal bin moves from inflating demand. Adjustment Trend distinguishes correction reasons from ordinary stock issues.
