Set up the stocked range

Inventory Manager prepares product categories, SKUs, warehouse locations and bins. A product has a stocking unit, tracking requirements and an effective cost method. Bins belong to their warehouse and can identify receiving, storage, pick, ship, quarantine or returns areas without requiring a full warehouse slotting system.

The stocked product-and-warehouse range is explicit. Products that have never been received, or have reached zero, remain visible in the relevant stock summaries. An absent positive stock row cannot hide an item the location is expected to carry.

Warehouse assignments define where each person can work. Deactivated identities and expired assignments cannot perform new stock actions. The same person holding several roles remains one person for approval checks.

Keep the complete stock identity

A stock position includes product, warehouse, bin, lot, serial, owner and custody state. In-transit positions also identify the transfer they belong to. These dimensions stay attached as goods move, so two owners or two serials cannot be combined into an unexplained balance.

Serial-controlled stock uses one stocking unit per serial, with only one positive position for that identity. Products requiring both lot and serial retain both. Established expiry follows the lot or serial through later receipts, transfers and returns; receiving the goods again does not restart their shelf life.

A consignment warehouse can hold owned or third-party goods. Its name alone does not establish title. Inventory Manager prepares stock hold, release or ownership changes; a different Inventory Manager approves the exact affected stock and value within authority. Authority uses the larger affected owned value before or after the change, even when the net movement value is zero. These recorded stock actions retain their own evidence. Admin configuration access cannot supply that decision, and physical relocation preserves the existing restrictions.

Read quantity in its operating context

Hold, quarantine, damaged and expired stock is unavailable. A blocking count lock also prevents use. Availability checks current expiry and restrictions when the action is requested, so an overdue background reminder cannot make expired goods eligible.

The product-and-warehouse summary separates physical on-hand stock from inbound transit. Expected arrival is useful context for the buyer, but it does not satisfy a request for stock available now.

Use the right unit for the product

Receipts, counts and issues reconcile to the product’s stocking unit. A product-specific conversion defines packaging such as cases or pallets; a case cannot be assumed to contain the same number of units for every SKU.

Conversions retain their effective version and positive factor. Dimensional conversions must be compatible, and serial quantities remain integral. Existing transactions keep their captured unit and conversion when a later master version changes.

Govern changes without rewriting stock

Inventory Manager prepares master and policy changes. An independent Admin activates the reviewed configuration, excluding its preparer and material editors. Restrictive holds retain existing claims while blocking their consumption. Ownership changes require those claims to be resolved or reassigned; changing a label cannot release another owner’s goods.

SKU renames and compatible merges preserve the identities on earlier documents. Changes to units, cost methods, tracking or ownership need controlled reconciliation of existing stock. Directly editing the current balance cannot replace a receipt, issue, transfer or reviewed correction.

Opening migration retains owners, controlled identities, remaining layers, claims and goods in transit at the accepted cutoff. Inventory Manager prepares the batch and a different eligible Inventory Manager approves its reconciled scope. Historical activity is evidence; importing it must not receive or issue the same stock again.

Screens

On-Hand by Warehouse shows the exact position and its operational quantities. Low Stock and Out of Stock retain the configured stocked range. Lot Expiry Soon helps authorized teams find controlled stock needing attention; it does not authorize a disposition.

Expiry Report

Exact remaining lot/serial positions and layer values as of cutoff, split by owner/status and disjoint days-to-expiry buckets: expired, 0–7, 8–30, 31–90 and over90; no-expiry/unknown-expiry positions remain separately visible. Use the warehouse-local expiry cutoff; same-day expiration policy is explicit. Returns and later receipts preserve established expiry. Value at risk includes only owned stock; alerts and FEFO guidance do not prove a markdown, sale or quality disposition.
