Commercial work and goods

  • Customer and supplier documents. Map counterparties, exact document revisions, products, units, quantities, prices and tax basis. Repeated updates return to the same transaction. An external order status cannot supply the required independent internal approval.
  • Trade allocations. Link eligible existing sales, purchasing and stock scope using the agreed source identities. Imported deal links preserve remaining claims across other trades; they cannot create extra demand or reserve the same goods again.
  • Warehouse and delivery evidence. Distinguish plans, labels and booking from actual receipt, customer handover or carrier dispatch. Later delivery results keep their own evidence without issuing stock again. Source ownership and the selected title policy are agreed before activation.
  • Production capture. Match actual material, time and operation results to released work and accepted output. Historical imports and repeated reports cannot create another finished kit or repeat its cost relief.

Documentary credits

  • Bank correspondence. Retain the external credit reference, bank role, original message, actual occurrence and receipt times. Authenticate the source or record the reviewed manual verification. Transmission acknowledgment is not issuance, confirmation or bank examination.
  • Terms and amendments. Keep issuer-issued terms, confirming-bank coverage and beneficiary effectiveness separate where they differ. Each presentation retains its reviewed governing terms rather than taking today’s latest status as its historical basis.
  • Documents and presentation. Link required documents, exact versions, shipment references, deadlines and evidence of actual bank presentation. A locally complete packet does not establish bank compliance; discrepancy, waiver request and the bank’s decision remain distinct.

Cash and financial records

  • Bank statements and financing. Preserve actual economic event identities, gross amounts, net cash, fees and reviewed currency conversions. Bank-funded supplier payment, export advance and later company reimbursement have separate sources. A lender collection can leave proceeds held by the bank; actual remittance or evidenced fee settlement clears that bank receivable without collecting the customer invoice again. A bank undertaking alone is not a cash movement.
  • Restricted cover. Reconcile actual placement, application and release with the relevant asset and bank obligation. A collateral record cannot duplicate a restricted bank balance or turn the same applied cover into another payment.
  • Financial exports. Retain company, period, account, currency and posting-source identity. Exporting reconciled local books does not create a second journal or establish group consolidation or statutory filing.

Use restricted service identities and recheck current action and sensitive-field permissions. Stable economic keys and content hashes distinguish a repeat from a conflicting revision. Actual external evidence is retained even when classification or a required decision is unresolved; uncertain execution keeps its claims until verified resolution. Before enabling a connection, verify partial work, delayed messages, duplicate submissions, corrections and reconciled migration. Installed bank messaging, customs connections and operational endpoints require their own confirmed implementation scope.
