Know the customer behind the order

The customer account identifies the legal trading party. Contacts identify the people who order, receive goods or discuss invoices. Keep those relationships separate from application users and their approval authority.

Each transaction belongs to the company making the sale. Billing identity, accepted ship-to information and terms stay with the agreement, even when a contact or account changes later. A shared trading name does not authorize another legal entity to use its balances.

Prepare an offer that can be fulfilled

Quotes use the effective price list, quantity tier and product unit. A buying case and a selling pack retain their reviewed conversions to the product’s base unit, so the offered quantity can be matched to actual supply.

The customer sees the agreed price, discounts, tax basis and terms. Line reductions and any allocated order reduction produce one accepted net amount. Partial invoices and credits use their share of that amount without deducting the discount again.

Missing cost or tax evidence remains a review item. An unknown margin is not a passing result. Known zero cost is valid when it has a reviewed basis, while zero net revenue leaves the percentage unavailable.

Preserve the agreement the customer accepted

Offer preparation, successful sending and customer acceptance are distinct events. Preserve the actual evidence of each instead of treating a queued message as an accepted sale.

Acceptance belongs to the complete revision: products, quantities, price, delivery information, terms and applicable conditions. A later price-list update cannot change goods already accepted by the customer. Material amendments retain performed work and return the eligible remainder through the required review.

Approve the complete commitment

Independent Sales Manager approval is required for every sales-order revision. The approver excludes its preparer and material editors and checks customer agreement, quantities, prices, handover terms and current credit exposure. Finance Manager separately authorizes any required credit exception.

Credit review includes open receivables and accepted unbilled commitments without counting shipped demand twice. Attributed eligible prepayment reduces exposure only within its permitted remaining scope. An LC request or document presentation does not automatically establish customer payment or unlimited credit.

Submitted content is frozen. Another login or role cannot make the same person independent of their own preparation. Material changes invalidate the affected unexecuted decision and require a current review.

Follow the order through partial work

The approved order gives purchasing, production and the warehouse a bounded customer requirement. Linking that requirement to a trade deal or several sources of supply does not create another order or stock claim.

Partial handovers retain their exact line, quantity and accepted value. Actual customer handover or carrier dispatch establishes the supported stock and title event. Finance prepares invoices only for eligible unbilled scope, with independent invoice approval still required.

The customer may pay before an invoice exists or receive goods before cash settles. Those outcomes remain visible separately. Later delivery confirmation does not issue the same goods again, and a bank message alone does not establish physical handover.

Resolve changes without losing history

Cancellation releases only eligible unexecuted commitments after related obligations are resolved. It cannot erase an actual supplier receipt, shipment, invoice or cash movement.

Returns retain original quantity and price lineage. Replacement goods use separately approved scope, with the credit or additional amount made explicit. A returned item cannot reopen the old shipment’s exhausted allowance or make the original customer acceptance disappear.

Trading Commitments and Margins

Separates dated expected, independently approved committed and posted realized populations per entity/deal: actual net revenue/credits and matched title-event carrying cost give gross profit; separately allocated actual charges/interest/expenses bridge contribution without another journal; use frozen comparable currency/unit bases, disclose incomplete/unallocated scope and null percentages when net is zero or cost unknown, while reviewed zero cost remains valid.
